Job summary

Defence Digital Commercial (DDCmrcl) is the core team responsible for delivering outstanding value for Defence across its exploitation of digital and information technologies.

We are responsible for a large portfolio of complex contracts worth £2bn a year, through more than 300 suppliers. We operate across five categories – Networks, Hardware and Services, Military Technology, Software and Hosting and Professional Services - engaging with suppliers of all sizes and specialisms across the technology and defence landscape aiming to deliver new contracts and manage contracts to deliver the outcomes and outputs needed by the delivery teams while reducing third-party costs and ensuring value for money is achieved for taxpayers.

The Defence Digital Commercial Operations Team are looking for a well-organised and enthusiastic PA to support to join our busy and friendly outer office team.

This position is advertised at 37 hours per week.

 


Job description

The PA role will report to the Executive Assistant (HEO Grade), in the Commercial Operations Outer Office team within Defence Digital Commercial and be involved in:


Assisting the EA(HEO) to:

Undertake diary management for DD Commercial 2* DD Commercial and 1* deputies

Manage diaries and scheduling meetings for 2* and 1*'s

Make arrangements for 2*/1*'s to access and work at all MOD sites (e.g. with HOE and desk bookings)

Liaise with outer office colleagues to ensure the smooth running of services

Hospitality Offers/Receipts

Maintain hospitality database

Provide support to quarterly StratCom audits including storing and maintaining relevant documentation

Business Administration

Provide assistance with room booking, filing and storage of documents where required

Provide support to Commercial Operations activities as required

In times of absence, the post holder will be required to undertake some of the duties of the EA

This job role is suitable for hybrid working, which is where an employee works part of the week in their Defence Digital office and part of the week from home. This is a voluntary, non-contractual arrangement and your office will be your contractual place of work. The number of days that anyone will be able to work at home will be determined primarily by business need, but personal circumstances and other relevant circumstances will also be taken into account. If you are successful, any opportunities for hybrid working, including whether a hybrid working arrangement is suitable for you, will be discussed with you prior to you taking up your post.

There may be opportunities for part-time candidates if a job share partnership can be established, subject to full time hours being achievable for the role in question.

 

Person specification

To be successful in this role you will:

  • Be a good communicator, experienced in business management and the issues faced, and be capable of defining solutions, providing constructive challenge where appropriate
  • IT literate including MS Office and SharePoint
  • Have a high degree of resilience and be results focused
  • Desirable: PA administration experience

The post does not offer relocation expenses.
