Job Summary:
Provide efficient administrative support, manage daily tasks, coordinate office activities, and maintain effective communication within a real estate organization.
Key Responsibilities:
Office Management: Oversee daily operations, ensuring supplies, equipment, and facilities are well-maintained and the workspace is organized.
Administrative Support: Manage correspondence, schedule appointments, organize meetings, and maintain up-to-date calendars.
Document Management: Prepare, edit, and proofread reports, presentations, contracts, and other important business documents.
Database Management: Maintain accurate and updated databases for properties, clients, vendors, and other relevant data.
Communication: Respond to phone calls and emails promptly, ensuring effective communication with internal and external stakeholders.
Client Support: Provide exceptional customer service by promptly addressing inquiries, resolving issues, and ensuring client satisfaction.
Vendor Coordination: Coordinate with vendors, suppliers, and service providers to ensure timely delivery and maintain positive relationships.
Financial Support: Assist with financial tasks, such as preparing invoices, monitoring expenses, and coordinating with the finance department for timely payment processing.
Compliance: Ensure strict adherence to company policies, procedures, and legal regulations, maintaining confidentiality and data security.
Project Assistance: Support project teams by coordinating activities, tracking progress, and providing necessary administrative assistance.
