Job Description

We are looking for project management interns for our Glasgow and Edinburgh offices 
Requirements:

  • Excellent command of English (both written and spoken)
  • Proficiency in French and/or Spanish
  • Knowledge of Portuguese, Arabic or other languages is strongly preferred
  • Graduate University degree in International Relations, Political Science, International Business, Economics, Finance or related subjects
  • Strong interest in international economic development and poverty reduction
  • Prior working experience in international development and developing countries is preferred
  • Academic level writing and research skills
  • High computer literacy (MS Office)
  • Ability to work in a fast-paced, self-directed environment under deadline pressures
  • Ability to manage own workload independently, multi-task and prioritize effectively

Main duties:

Intern/Project Coordinator has a primary responsibility to assist in managing and supervising administrative, technical and financial aspects of assigned projects from project award to completion. Intern/Project Coordinator, under the guidance and supervision of Project Manager, will support in activities aimed to comply with the contractual requirements set out in clients’, consultants’ and subcontractors’ contracts and completion of projects in the defined timeline, facilitate budgetary and financial control of assigned projects, support managing expectations of all parties involved in the PM chain. Intern/Project Coordinator will directly report to the Project Manager. Specific duties include but not be limited to:

  • Ensure compliance with IOS internal administrative, financial and technical reporting standards, procedures and requirements;
  • Submit timesheets on the last day of each month to the PM for approval;
  • Take full and direct responsibility to support to manage all aspects of assigned projects from initial stages of contract award and negotiation through to completion;
  • Ensure adherence to Project Contract Negotiation Process and respective checklist;
  • Under the supervision of the PM, ensure smooth transition of awarded projects from Business Development to Project Management;
  • Under the leadership of the PM, participate in contract negotiation process with clients upon contract award;
  • Provide assistance to ensure projects run on time and budget;
  • Provide active role and use critical judgment in the development of all project deliverables;
  • Ensure quality and timely submission of all project deliverables and documentation as assigned by the PM;
  • Proactively communicate with experts, clients and all other relevant stakeholders for each assigned project as directed by the PM;
  • Support to ensure compliance with all contractual commitments defined in contracts with clients, subcontractors and individual consultants;
  • Prepare drafts of clients’, subcontractors’ and individual consultants’ contracts for PM’s review;
  • Undertake field visits and attend meetings with clients and other relevant stakeholders as appropriate and directed by VP for Project Management;
  • Maintain and regularly update Project folder in Google Drive and PM Tool for each assigned project;
  • Effectively communicate with the PM, VP for PM and IOS Financial Department for any issues related to assigned projects;
  • Ensure timely submission of all invoices to clients for the assigned projects in line with the payment schedule by communicating with IOS Financial Department to prepare respective invoices;
  • Assist with timely follow up on all submitted invoices through to completion of collection process;
  • Assist with receipt of Tax Certificate confirming payment of taxes on behalf of IOS by clients when contracts are inclusive of taxes;
  • Ensure receipt and timely review of timesheets, invoices and expense reports from subcontractors and individual experts in line with their contractual requirements and submit for approval to the DPM and then to IOS Financial Department;
  • Ensure logistics set up for all project related travel and experts’ missions to the field, including hotel, air travel, advance, etc. in line with Project Inception Checklist;
  • Prepare 3Bs for all assigned projects and ensure to update 3Bs upon project completion;
  • Request letters of completion and recommendation upon completion of assigned projects;
  • Provide assistance to Business Development wherever possible and as needed;
  • Provide any other project management related task upon request from management.
